Autoassign is a “catchall” option in Flex that automatically assigns unassigned students to choice activities with available seats. If not enough seats are available in the choice activities for automatic assignments, the remaining students will be assigned to a designated “catchall room”.
The Autoassign function automatically runs between 12-1 AM but it’s also possible for admins to manually trigger the Autoassign process. System logic has been developed to “intelligently” assign students to available activities without exceeding the activity or room cap.
The Autoassign logic includes the following considerations:
- First, all orange (Optional) activities are filled with students from the activities linked group or additional students list. (Note: the preference list is not used by the system when placing students in orange level activities.)
- Then, green (Advertised) activities - The linked group/additional students have a slightly higher weighting than the preference list but both are used when making placements in these activities.
- Then gray (Open) activities - Placement in gray activities is driven by the preference list pairings or by the group linked to the activity. (Having both is not needed as they are weighted equally.)
NOTE: Students can be marked "At Risk" on the Preference List, which will elevate the weight of this student/teacher pairing, so the algorithm is more likely to place the student with the teacher. Using the "At Risk" status only increases the weight for placement in an advertised or open activity (step 2 and 3); not optional.
