Creating a CSV User File

The Pass system provides school Admins with access to upload a CSV file of user information in order to create accounts for users who are not shared from Securly Sync or a third party (ClassLink, Clever, etc.). Below is the required file format when uploading users into Pass.

It is very important that the column headers in the file match exactly what is shown above (bolded and highlighted for emphasis). The system uses the column headers to match data to the correct fields in Pass. If they are not exact, the system will not be able to process the file (Capital vs. lowercase letters do not matter throughout the file).

Below are additional details for each piece of data included in the file:

Field Description
firstname Provide first name or desired display name. Hyphens and apostrophes are accepted.
lastname Provide last name or desired display name. Hyphens and apostrophes are accepted.
email User(s) will not be added if the email field is blank. Confirm email domains(s) match with what was given for system setup (@schooldomain.org)
role The only four options are admin, teacher, staff or student. The role determines the privleges you want them to have in Pass. If left blank, the "student" role will be assigned to the user.
gradyear (optional field) Graduation year is used to enable certain functionality within the system, which will not be available if this data is not provided. Gradyear should be in a 4-digit year format (E.g., 2027, not 27). If not provided, then leave this column blank; do not use "nul" ir "0" (zero) in this column.
status Enter “Active” or “1” in the Status field to add users to your system or keep existing users active. Do not enter any of the following values in this field: “Inactive”, “0”, or “Archive”. Entering one of these values can cause the user to be put into an “Inactive” status, which should not be used in Pass. If a user no longer needs access to Pass, remove them from the file. idnumber (optional field) Needed for students if you plan to send student photos for use within the system and for setting Kiosk passwords. If you are not if not sending this data, it can be left blank
